Administrative Assistant
Job Description

 

Reports to:
Manager of Human Resources

 Position Title will:

  • Provide a positive first impression to customers, Clients, vendors, and staff via in person, the telephone, or electronically
  • Welcomes and directs visitors and answers/directs incoming telephone calls
  • Receives messages, seeks to respond or refer caller, and visitor to appropriate resources
  • Organizes the appearance of the reception area, including the kitchen and conference rooms so that it looks professional, clean, and orderly
  • Ordering, restocking, and inventory of office supplies
  • Responsible for all incoming and outgoing mail/packages
  • Food ordering, setup and take down as directed
  • Assisting with administrative tasks in other departments:
    • Accounting Department
      • Accounts payable filing
      • Preparing credit card statements for reconciliation
      • Claims submission backup
      • Bluebook
      • Miscellaneous tasks/projects
    • Human Resources Department
      • Benefits administration includes email and USPS notifications
      • Miscellaneous tasks/projects
    • Marketing Department
      • Marketing research
      • Miscellaneous tasks/projects
    • Any other duties requested by LEL

 

 

 

Requirements

Qualifications:

  • High school diploma or GED equivalent, Associate degree in office administration, business management or related field preferred
  • Accounting or Medical Billing is a plus, but not required
  • Minimum one (1) year of experience in administrative assisting, reception, or customer service
  • Knowledge of Microsoft Office including:
    • Outlook
    • Word
    • Excel
  • Excellent verbal and writing skills
  • Proficient time management skills
  • Team player
  • Strong organization skills
  • Ability to multi-task and meet deadlines
  • Ability to handle sensitive, confidential information
  • Positive and pleasant attitude

Physical Requirements:
The employee must:

A.    Regularly:

1.     Speak;

2.     Hear (both in person and using a telephone);

3.     Sit;

4.     Use hands to manipulate, handle or feel;

5.     Reach with hands and arms and

6.     Lift and/or move up to five (5) pounds.

B.    Frequently:

1.     Stand, walk, stoop or kneel and

2.     Lift and/or move up to ten (10) pounds.

C.    Occasionally:

1.     Operate a non-commercial automobile for distances up to 500 miles;

2.     Climb and/or straddle and

3.     Lift and/or move up to twenty (20) pounds.

While performing the duties of this job, the employee is regularly exposed to an office environment in which the noise level is usually low to moderate.  The employee is occasionally exposed to outside weather conditions as well as Client residences in which the noise levels are usually moderate.
